Transport Management System (TMS): planning and optimising transport

A Transport Management System, or TMS for short, is software that manages the entire transport process: from entering orders and planning routes to tracking deliveries and reporting on performance. A TMS connects clients, logistics partners and end customers on a single platform, ensuring that every step in the delivery process is visible and controllable.

What exactly does a TMS do?

A TMS eliminates the complexity that arises when hundreds or thousands of shipments are managed on a daily basis. In practice, a TMS fulfils four core functions. Each function makes a significant difference on its own, but together they form a complete transport system.

1. Order management

All incoming orders are received via a central interface. The system validates addresses, checks that all details are complete and links each consignment to the correct vehicle, the correct hub and the correct time slot. Errors that can easily arise during manual processing are automatically detected.

2. Route planning and optimisation

Based on the daily order list, the TMS calculates the most efficient routes. In doing so, the system takes into account time slots, load capacity, traffic forecasts and any restrictions in low-emission zones in city centres. Drivers receive the route schedule directly on their device.

3. Real-time tracking

As soon as a vehicle is on the road, the TMS tracks every consignment in real time. Clients can see, step by step, which actions have already been carried out. End customers automatically receive a text message or email with a track-and-trace link and a two-hour delivery window. This reduces the number of enquiries about the status of deliveries.

4. Reporting and KPI monitoring

After each delivery day, the TMS generates an overview of the key performance indicators. Examples include delivery precision, first-attempt delivery rate, the number of stops per route and any deviations. This data forms the basis for structural improvements in transport planning.

TMS versus manual planning: what’s the difference?

Many logistics operations still rely partly on manual planning via spreadsheets, email or telephone consultations. This may work for a limited number of shipments, but with larger volumes, problems with scalability, overview and susceptibility to errors quickly arise. A TMS structures and automates processes that would otherwise be heavily dependent on individual knowledge and experience.
